Sales Order Capture

Overview

 

The Sales Order Capture application allows the user to create, amend, complete and add lines to sales orders.

 

 

Function

 

Capture a Sales Order

 

 

Click on the button and select the menu item.

 

 

Fill in the information as required.

 

Order type - Select the order type using the picker.

 

 

Delivery Method - Select how the debtor will be receiving the order once completed.  Depending on the order type selected the delivery method will automatically be populated.  This can be changed and a delivery method can be selected manually.

 

 

Special Instructions - This allows for the capturing of any special instructions given by the client/debtor when the order was placed.

 

Representative - Using the picker, select the sales representative who is responsible for the sale.

 

Seller - This is the agent responsible for the sale.

 

Customer Order No - Fill in manually

 

Order Received - The date on which this order was received

 

Debtor Contact Information - Select the Debtor contact sequence from the picker.  If this picker is empty, it means no contact information for the debtor has been captured and this must be rectified either in the Debtor maintenance application or by using the button which will update the Debtor maintenance application.  After the sequence has been selected the information will populate, but it can still be edited.

Once all information has been completed click on the button.

 

The system does a validation check on the information entered.  Should there be information outstanding you will receive the following message:

 

Click on the button, complete the outstanding information and click on the button.

 

 

Continue completing the required information using the pickers.

 

The Product Information fields section will automatically be populated based on the product selected.

 

When you complete the Order Qty field the Order Price fields section will automatically be updated.  The discount % can be selected from the drop down arrow or left at 0.  Sales Price and List Price are maintained in the Sales Price Maintenance application and cannot be amended here.  After the order quantity has been entered, this message might appear.  It means that no sales price or price basis exists for the selected item.  These must be captured in the Sales Price Maintenance application.

 

 

 

If you capture another sales order line and it seems to be a duplicate of the previous line (same item code and same quantity) you will receive the following message:

 

 

Update the order dates fields section and click on the button.

 

Complete the delivery address for the sales order and click on the button.

 

 

Click on the button to continue.

 

 

Click on the button to capture another or to cancel.

 

 

Amend an existing sales order

 

To edit details shown in the 'Orders' tab follow these steps:

 

Using the picker select the order number you would like to amend.

 

Click on the button and select the menu item.

 

You will now be able to edit the information as required.

When you are finished editing, click on the button to save the changes made.

 

 

Click on the button to continue.

 

 

To edit details shown in the 'Products' tab follow these steps:

 

Using the picker select the order number you would like to amend.

Click on the 'Products' tab or use the button to go to the 'Products' tab.

 

Click on the button and select the menu item.

 

This option will show all the free stock, allocated stock and reserved stock that exists for items matching the selected sales order line.  The user can reallocate these stacks to the selected order line.

 

A confirmation message is shown for each order line where stock was reallocated from so that the user can choose if a bulk order is needed to replenish stock for it.

 

A warning message is shown if unallocated stock would reduce the picked quantity below the minimum delivered quantity.  If the user chooses to continue then the picking slip will be cancelled.

 

An email notification will be sent to the relevant planner and to the system administrator when a picking slip was reversed/allocated stock was reallocated.

 

Click on the button and select the menu item.

 

Lines of which picking slips have been printed, cannot be amended.  The following message will appear:

 

 

An email notification will be sent to the applicable production manager when a sales order is amended while bulk order tickets are linked to the sales order.

When you are finished editing, click on the button to save the changes made.

 

 

Click on the button to continue.

 

To change the Invoice Delivery Address follow these steps:

 

Using the picker select the order number you would like to amend.

Click on the 'Invoice Address' tab or use the button to go to the 'Invoice Address' tab.

 

Click on the button and select the menu item.

 

A confirmed order's deliver address cannot be changed.

Select the address line you would like to use as Delivery Address and click on the button to save the changes made.

 

Complete an existing sales order

 

To complete an existing sales order, select the Order Number using the picker.  

 

Click on the button and select the menu item.

 

 

Click on the button to continue.

 

 

Click on the button to continue.

 

If a bulk order is captured for a sales order within the last 48 hours but not posted an email notification will be generated and sent to designated persons.  This function is parameter driven and can be disabled upon request.

 

To cancel an order click on the button and select .

 

When a sales order is cancelled, a screen will display all linked bulk orders and tickets.  Here the user can select which of those bulk orders or tickets should be cancelled as a result of the cancellation of the sales order.

 

Print a Pro-Forma Invoice:

When you select a line and click on the button you will be able to print a pro-forma invoice.

 

 

The button allows you to override the Sales Quantity and Sales Price.

 

The button generates a print preview of the invoice which can then be sent.
