Contract Price Change

Overview

This application allows the user to create a new contract or to add or update items on an existing contract, using the Import functionality. Templates can be exported, update and imported again.

 

Function

To export a template, open the Import tab and click on the button.

 

The following screen will be displayed, radio buttons will default to Detail:

 

If you are using the import duties functionality, the above screen will be displayed as follows:

 

Select the Header option and click on the button.

The Detail option is used to update existing Contract Price Change records.

 

An Excel spreadsheet is generated and must be updated with relevant information. Once completed, save the spreadsheet in a relevant place.

 

Contract No – The number the contract will be saved as.

Contract Type – This is the contract type code:

 

Supplier Code – Enter the existing supplier code as per your system.  These supplier codes are company specific:

 

Enter the dates applicable to the contract (Start, End, Revised, Effective From).  The effective from date cannot be in the past.

Buyer Code – The buyer who will be responsible for this contract.

Account Detail Code – The cost centre to be charged with the cost of this contract.

 

To import the saved header spreadsheet:

 

Click on the button.  This button is only enabled on the Import tab.

 

Two options are available:

 

If you are using import duties an additional option will be available:

 

Select the Import Contract Header option and select the saved Excel spreadsheet.

The following screen will open in the application after successful import:

 

Click on the button. This will validate the information in the imported spreadsheet against the database.

Validation will be confirmed with an information message:

 

If invalid information was supplied the following message will appear:

 

On accepting this message, reasons for the validation error(s) that occurred will be described in the Error Description column on the far right of the grid:

 

Fix the incorrect information on the spreadsheet, save and re-import by the same method described.  Once all the validation errors have been resolved, click on the button to proceed.

 

Click to complete the upload.

 

The import of the contract header details is now complete.  The contract will be available in the picker on the Contracts tab.  When selected, the buttons as per below will be enabled.  

 

For a new contract where no details exist in the system, the button will only show records after import of a detail spreadsheet, will enable the two date fields on this tab for amending, will post the header record. will not return data if no details have been imported for the new contract.  

To import contract detail, select the Import tab and click on the button again. The Detail radio button is selected by default.  

Select the record you want to work with in the picker and .

 

A template for the contract detail will be exported.  Complete all the fields and save just as you did with the header spreadsheet.

Click on the button and select the Import Contract Details option.  Select the prepared spreadsheet for import.  The data will be displayed in the grid.

 

 

As with the header import, click on the button. If any validation errors are found, these will be described in the Error Description column.  All records ready for import will be highlighted in yellow.

 

 

As seen in the example above, items can be imported for multiple contracts using 1 spreadsheet.

Select button.

 

Posting of all records

Select the contract you are working with from the Contract picker on the Contracts tab.  Selecting the button will display the imported Contract information.  

The button will print the following report: (As long as the details have not been posted yet.)

 

 

Click on the button to save the information and update Contract Master.  

 

It is also possible to type or copy a contract number directly into the Contract picker on the Contracts tab.  The following prompt will be displayed:

 

The button will display all relevant contract price change info in a grid view:

 

The price change record can now be amended by importing the required information and posting as described in the steps above.
