Process RFQ

Overview

This application is used to create and edit Requests for Quotes.  A request for quote can be generated using the Capture e-Requisition application or it can be generated through a buyer.  If the RFQ was generated through a general user, the routing will be as follows:

 

Originator creates the RFQ, specifying the quantity and description of the item/s.

Buyer processes the RFQ, sources suppliers and obtains quotes (this application).

The originator selects a supplier and transforms the RFQ into a purchase requisition.

The purchase requisition is routed to a supervisor for financial approval.

After the purchase requisition has been approved, it is routed back to the buyer to place the purchase order with the selected supplier.

 

Note: You can never amend the repair price - only when the Select Price option is used and the Allow Variable Unit Cost = Y contract line is selected, then the Price field will be enabled - after saving, it will be disabled again, as the contract, price, flag, etc. can change.

 

Function

Electronic RFQs tab

When the application is opened the buyer needs to /select his/her buyer code in the Buyer Code field.

 

All the RFQ's linked to the selected buyer code will appear in the display grid.

 

When you right-click on this grid, you will have the following options:

 

Change Priority: This allows you to change the priority of the order.  How urgent it is.

Reallocate: This option allows you to reallocate an RFQ to a different buyer.  You will be required to select the buyer and insert a comment before reallocating.

 

Add Supplier: This option allows you to add a supplier to the RFQ:

 

Reset RFQ Status to: Allows you to reset any selected RFQ to any of the three options –

 

Combined Print for supplier:  

Merge/Split: This option allows you to merge similar RFQs into one or to split one RFQ into multiple orders.

 

Customise Grid: This is basic DeltaERP functionality which allows you to customise the grid, i.e. columns seen and order of these columns.

 

View Authorization History: Allows you to view the authorisation history of the selected line.

 

View Adjudication Form: This option allows you to view a list of quotes filled in via the online supplier portal.  The cheapest supplier will be highlighted.

When you double click on a line, or select a line and click on the button, the following screen will be displayed:

 

Some of the fields will populate automatically but others need to be filled in, i.e. a supplier has to be chosen from the lookup list.

 

If you are using import duties, provision for import duties is made in this application before the RFQ is sent back for originator buyer selection and financial approval.

 

The following right click options are available in the Line/Supplier field:

 

Easy View:  This displays the information on the screen in an easy view:

 

View Adjudication Form: This option allows you to view a list of quotes filled in via the online supplier portal.  The cheapest supplier will be highlighted.

View BBE Information: This will display the supplier's BEE information and will be active if set up.

 

BEE Status: This option will display the BEE status of the selected supplier and will be active if set up.

 

Edit All Lines: This allows you to edit all the lines of the RFQ at once.  Only corresponding information will be allowed for edit.

 

The button allows you to view and / or attach any relevant documentation to the RFQ.

 

The button allows you to do a quick Item enquiry and gives you the following options:

Item Enquiry

This option will open the Item Enquiry application.  It will only be applicable when the item is a stock item.

 

The button on the details screen generates a print preview of the Request for Quote:

 

 

The button on the details screen removes the selected supplier from the field on the top left of the screen.  If there is only one supplier, removing a supplier will cancel the entire RFQ:

 

The button on the details screen allows you to add a supplier to the RFQ.

 

 

The button allows you to save the information entered:

Do nothing; return to edit screen will cancel the save request.

Save and send for approval will save the changes made and send the RFQ for approval.

Only save changes will save the changes made but the RFQ will still be displayed in the grid for more editing or sending at a later stage.

 

If parameters RFQ_QTY_CHANGE_EMAIL and PO_NOTIFY_EMAIL is active, an email notification will be sent to the specified email address where the quote quantity is not the same as the original requested quantity.

 

When applicable, before the RFQ is sent for originator supplier selection or financial approval, you will be able to allocate provision for import duties.

 

The button will close this screen and not save any changes made.

 

The button gives you the following options:

Listing

 

The button allows you to view and / or attach relevant documentation to the RFQ.

 

The button gives you the following options:

 

Buyer Selection: This option opens the buyer selection screen should you wish to change the initial selection made:

 

Find RFQ: This option allows you to search for a specific RFQ:

 

After entering the number, click on .  The Detail screen for the selected RFQ will be displayed.

Reset RFQ status to: This option allows you to reset the status of the RFQ should it not be ready for processing.

Reinstate RFQ: This option allows you to reinstate any rejected RFQs.  This option will only be enabled if you are on the relevant tab and are allowed to reinstate the selected RFQ.

Cancel RFQ: This option allows you to cancel the selected RFQ.  You will be required to enter a reason for cancelling the RFQ.

 

Export to Excel: This option will export all the information in the grid to an Excel spreadsheet.

 

The button will refresh the grid ensuring the information displayed is up to date and synced with the rest of DeltaERP.

 

The button will only be enabled if Gate Pass/Way Bill functionality is used and when the order is for a stock item marked as rotable.  It allows you to capture and print a gate pass for the item to leave the site.

 

The button allows you to view and / or attach any relevant documentation to the RFQ.

 

The will open the following screen where you can add items to the gate pass:

 

Maintain Gate Pass Items tab

This tab allows you to add new items or amend existing ones by selecting them using the picker or manually entering the item code.

 

Gate Pass Item List tab

This tab will list all the items added to the gate pass.

 

The button will generate a print preview of the gate pass:

 

The button will open the following screen allowing you to create a repair stock order.

 

Complete the details to create:

 

 

RFQs History

When you select the history tab, you will view the following:

 

The data displayed can be filtered by selecting the applicable radio buttons:

Approved and Supplier Selection

E-Req Rejected

E-Req Cancelled

Cancelled and Rejected

 

Information can be loaded for all or the last 30 days.

 

When you select a line here and click on the button, you will be able to reinstate the RFQ.

 

 

Purchase Orders tab

When you select the Purchase Orders tab you will view the following:

 

This tab displays all the orders reallocated to a different buyer.
