Ad Hoc Manual Order

Overview

 

This application allows the user to manually capture an order. These orders are "M" (Manual) orders. This will be used if no electronic requisition was sent. The orders captured in this application have already been approved by management. If the user's system is down they will be able to capture the order manually.

 

Capture an order

 

 

Header Tab

 

To start a new order select the button.

Select the type of order to be captured, either by entering the code or by using the picker.

 

Some of the fields will automatically be set by default, but these can be changed.

 

Enter the following compulsory details:

 

Cost Company

Store Code

Supplier

Delivery Method

Buyer

Originator

Supplier Contact – not compulsory

Supplier Reference – not compulsory

 

Check the ‘Add Vat to the order’ option if you want VAT to automatically be added to the order. Once the 'Header' tab has been completed, click on the 'Details' tab to proceed.

 

Details Tab

 

The item lines are created in this tab.

 

 

Creating an item line

 

Enter the following compulsory information:

 

Item Code –  select the store's item code to be ordered.

Account – select the appropriate account from which the order should be set against.

Component – enter the relevant component, if the account is an asset.

Supplier Item – not compulsory, if there is a supplier description assigned to the item chosen then it will automatically appear.

Purchase Unit – the unit measure sold, will either be automatically set or select using the picker.

Required Date – date the order should be delivered, use the drop down arrow.

Quantity - enter the quantity to be ordered.

Price - enter the items price.

Freight % - this will automatically be calculated.

Value  - this will automatically be calculated.

Work Order – if the purchase order is for a work order then enter the work order number by using the picker.

Job Number – if the order is for a work order.

Responsibility – must correspond with the account chosen, select using the picker.

Reason for Purchase - enter the reason.

 

Select the button, this will save the item line recorded. The item line will appear in the display grid above.

 

Add more lines

 

To add more lines to the order select the button. Enter the items details in the respective fields and select the button. The second line will appear in the display grid above.

 

You can add more lines as needed by repeating this process.

 

Amend

 

To change the existing line records, double click on the line and select . The item line details will be available in the respective fields for change.

 

Change the details required and select the button to save changes.

 

Delete

 

To erase an existing item line, double click on the relevant line and select the button. The following message will appear, to confirm the action.

 

 

Select to delete or to abort.

 

Posting an order

 

To post an order select the button and the following message will appear to confirm action. The order number will be shown and whether it has been posted successfully or not. Select to continue.
