Bank Reconciliation

Overview

This application allows you to:

Reconcile bank statements and cashbook transactions

Upload Bank Statements directly from bank in multiple currencies.

Reconciliation process can be automatically done by the system

Journal entries can be automatically created for bank and interest charges and other transactions on the bank statement.

When capturing a journal from a statement line for journal lines where VAT is applicable, users will be able to specify the VAT type (input/output VAT). The system will default the VAT type based on the sign of the statement transaction (debit/credit) although users can override it.

If you are using the translation functionality, descriptions and comments will be translated to your selected language.

 

Rules Applied

Bank reconciliations are based on a specific period in DeltaERP.

Multiple reconciliation batches may be captured for the same reconciling period for each bank account.

Import bank statement function is only available for specific banks.

When deleting a bank statement, all items are unallocated, and the entire statement is deleted.

 

Function

When the application is opened, you will view the following screen:

 

Select the bank account you need to do the reconciliation for, using the picker or by manually entering the code.

 

The button allows you to print the latest reconciliation for the bank account you have selected.

 

The button allows you to manually capture a new bank recon or to add statement transactions to an existing one.

 

When you click on the button, you will be able to view the following screen:

 

Complete the fields and click on the button to save the line.  

The button will return to the previous screen and the button will delete added lines.

The will post the added lines.

When you click on the button, you will have the following options:

 

Once completed, click on the button.  You will receive the following confirmation message:

 

When you click , the Capture Bank Statement screen will be displayed, and you can add lines as described above.

 

The button allows you to amend the latest existing recon's closing balance.

The button allows you to delete a bank statement and it's recon from the system.

 

If you click , the statement will be deleted:

 

You will only be able to delete the latest bank statement:

 

The button gives you the following options:

 

The Import Statement option allows you to import a bank statement as received from your bank.  The information disclosed on the screen must be checked to see that the reconciliation is for the correct account.

 

Select if the information is correct and select the file location where the statement file is saved.  The statement will now be imported.

The results can be seen by clicking on the button.  The same screen can be accessed by double clicking on a line in the grid.

 

The default tab displayed (Tabs, Tiled of Single) is parameter driven and can be changed.

 

All the cash book items and bank statement items will appear in the display screen. The source of each item can be seen under the 'Source' column.

 

To reconcile a cashbook item with a bank statement item, you need to select all cashbook lines to be reconciled and then select the bank statement line they must be reconciled with.

 

At the top of the screen are three fields:

Cashbook - shows the total of all the cashbook lines selected

Statement - shows the total of all the bank statement lines selected

Total - shows the difference between the bank and cashbook lines selected, must be a 0(zero) balance to reconcile

 

The total amount has to be a 0 (zero) balance to be able to allocate the items against each other.

 

If the difference is zero select the button, or right click in the grid and select the Allocate option, to reconcile the items.

 

The items will be removed from the screen. When the screen is blank, all items have been reconciled.

 

The button will automatically search for matching reference numbers and amounts between the cashbook and bank lines and reconcile these items. Lines which may, for example, only have matching amounts but not reference numbers will not be reconciled, this will have to be captured manually, as explained above.

 

Right Click Options

The following right click options are available:

 

Unselect All and Select All

This option selects or unselects all the transaction lines.

 

Unselect Row(s) and Select Row(s)

Multiple lines can be selected by holding the ctrl button on your keyboard and clicking the lines.  You can then choose the select row(s) option to select them.

 

Add To Statement and Delete From Statement

This option will give you the following confirmation message:

Creating a Journal Entry

When all the items have been reconciled, bank items remaining need to be entered into a journal.  Select the line and right click.  Select the Create Journal option.  You will have the following options:

 

Journals can be created for one or multiple bank statement lines.  Once the journal entries have been created, the items can be reconciled with the bank lines and the reconciliation is complete.

 

View Allocation Details

Allows you to view the allocation details as captured using the Creditors Allocation application.  Select the button to reverse the allocation.

 

Allocate

This has the same functionality as the button.

 

View Transaction Details

This option displays the following information relating to the selected line:

 

Adjust Transaction Value

This is used to adjust values where the transaction currency is different from the bank statement currency.
